This is a translation provided for convenience; the French version prevails.
1. Scope and seller
These general terms of sale (the “Terms of Sale”) apply to any order placed with an Establishment via the Coffee Beanz app. They supplement the terms of use, whose definitions they adopt.
The Seller is the operator of the chosen Establishment. Its name, address and VAT number are shown in the App before payment and in the order details. It is either [À COMPLÉTER : dénomination sociale], for the Establishments we operate, or an independent Partner; in the latter case, the sales contract is concluded directly between you and the Partner, with Coffee Beanz acting solely as a technical intermediary (catalogue, ordering, collection of payment on behalf of the Partner, order tracking).
2. Products, information and allergens
Products, combos and options are presented with their description and price. Photos are for illustration only and are not contractually binding. Product availability depends on each Establishment; a product that is out of stock is shown as unavailable.
3. Prices
Prices are shown in euros, inclusive of all taxes (VAT included). The price of the options and extras you choose is displayed before the item is added to the cart. Coffee Beanz adds no service or order fee: the total shown in the summary, including any discount, is the amount you pay. The applicable price is the one displayed when the order is confirmed; the server recalculates and checks it before any charge is made.
4. Placing an order
- You fill your cart, choose eat in or take away, then the pickup day and time from the available time slots (these take into account the Establishment's preparation time and how busy it is).
- The summary shows the Seller, the products, the time slot, any discount and the total. You can go back and correct your order at any time before payment.
- The order is concluded when you confirm payment (“Confirm and pay” button) and the App displays the confirmation with the order number. It then appears in your history.
- The Seller may refuse an order if the time slot has become unavailable or if there is a payment problem; in that case, no amount is charged, or it is refunded in full.
5. Payment
Payment is made online, at the time of ordering, through Stripe, a licensed payment service provider, using the methods offered on screen (bank card, Bancontact, etc.). The payment is paid directly to the Seller. Your payment details are entered in Stripe's secure module and are never disclosed to Coffee Beanz or to the Seller. Your bank may ask you to complete strong authentication (3D Secure).
6. Preparation and pickup
- Your order is prepared for the pickup time you have chosen. The App keeps you informed of its progress (being prepared, ready) by notification, if you have allowed notifications.
- Exceptionally, the Establishment may adjust the preparation time (when it is busy); you are informed of this in the App.
- Go to the Establishment and give your order number. For an “eat in” order, you consume it at the Establishment; for a “take away” order, it is handed to you packaged.
- The Establishment keeps your order ready for up to 1 hour after the pickup time you chose. After that, it may be thrown away for hygiene reasons. An order that has been prepared but not collected remains payable and is not refunded, as the products cannot be resold.
7. No right of withdrawal
8. Cancellation and refunds
- By you: you can cancel your order free of charge in the App up to 10 minutes before its preparation begins (“Cancel order” button in the order details, which disappears once this deadline has passed). After that, contact the Establishment on site or our support team (Help › Write to support); cancellation is then no longer guaranteed.
- Order not started: if the Establishment still has not started your order 30 minutes after the scheduled pickup time, you can cancel it in the App (“Cancel and get a refund” button); it is then refunded in full. An order already being prepared or ready can no longer be cancelled by you, but the Establishment can cancel it and refund you.
- By the Establishment: in the event of a stock shortage, a technical problem, an error or any other impediment, the Establishment may cancel your order; you are informed immediately.
- Any cancelled order (by you in the cases above, or by the Establishment) is refunded in full to the payment method used. The refund is initiated immediately; how long it takes to appear on your account depends on your bank (usually 5 to 10 working days).
9. Promotions and discounts
Only one discount per order. The conditions of each offer (pickup time and day, products concerned, minimum amount, first order, number of uses) are displayed in the App and checked at the time of payment: if an offer does not apply to your order, the App tells you so and the full price is displayed before you pay. An order that is cancelled and refunded does not count towards your uses.
10. Complaints and conformity
Check your order when you collect it. If a product is missing, incorrect or non-conforming, report it immediately to the Establishment's staff or, at the latest within 48 hours, via Help › Write to support (category “An order”). You benefit from the legal guarantee of conformity: depending on the case, the product is replaced or refunded. The Seller remains your point of contact for the performance of the sale; Coffee Beanz helps you reach a Partner and resolve your complaint.
11. Proof of order
The details of each order (Seller, products, amount, date) are available in your history, with a downloadable receipt (amounts including VAT and VAT breakdown). If you need an invoice (for example in your company's name), request it from the order in the App: it is issued by the Seller, in its own name. If you are a VAT-registered business established in Belgium, the Seller sends it to you through the Peppol network (electronic invoicing between Belgian businesses has been mandatory since 1 January 2026).
12. Personal data
The data needed for your order is processed in accordance with our privacy policy and passed on to the Seller so that your order can be prepared and handed over to you.
13. Governing law and disputes
These Terms of Sale are governed by Belgian law, without prejudice to any more protective mandatory provisions of your country of residence. In the event of a dispute, first send your complaint to the Seller or to our support team ([À COMPLÉTER : e-mail de contact]). If no solution is found, you can refer the matter free of charge to the Consumer Mediation Service (Service de Médiation pour le Consommateur) (www.mediationconsommateur.be) or to the competent courts.
